Online Learning Agreement

The Online Learning agreement is an essential and mandatory part of the Erasmus+ programme. The agreement states the courses you plan to take at your host university. Please note that it does not replace your pre-approval of credit transfer from www.merit.dtu.dk

It is your responsibility to fill out the OLA and to have it signed. There are three parties involved: Yourself, DTU, and your host university.

Who needs to sign and when is the deadline?
The Online Learning Agreement must be signed at the latest by the start of the semester abroad and must be updated in case of changes to the course selection. Please note that DTU cannot sign your learning agreement until all courses have been pre-approved by DTU merit.


 

How does it work?

We recommend that you start by reading the Online Learning Agreement Guide before filling your OLA.

 

Pre-approval:

All courses on the OLA must be pre-approved by DTU merit before you can fill out the online Learning Agreement. Apply for pre-approval (forhåndsmerit) at www.merit.dtu.dk 

 

Create account:

• Create an account with your DTU student email at https://www.learning-agreement.eu/
• Register with Edugain, find DTU in the drop down menu, and activate your account (check your spam filter for activation email).
• Fill out the learning agreement via the webpage

 

Fill out the OLA:
- Go to https://www.learning-agreement.eu/ and log in.
- Choose “My Learning Agreement”
- Click “Create New”
- Choose “Semester Mobility”
- Fill out the form (6 steps) – (see the step-by-step OLA guide for a detailed description)

Commitment

Sign and submit your OLA to send it for approval at DTU and host institution.

The total number of ECTS credits (or equivalent) in Table B should correspond to the total number of ECTS credits (or equivalent) contained in Table A and the registration of the courses as outlined in your pre-approval.

You will receive an email when both DTU and the receiving institution have approved your Learning Agreement. Once your online learning agreement has been signed by all three parties, please download the document and upload the pdf to your Erasmus+ application on Beyond Borders.

If the OLA is declined

If DTU or your host university asks you to change something in your OLA you will receive an email. Log in to the OLA system and choose “Edit your OLA”.
You will find the comment on what to change under section 6 (under the box where you sign and submit your OLA”.
Make the required changes, sign and re-submit.


 

What if some courses change?

If courses change during the semester both the pre-approval and the OLA should be updated. It is important that you update both as soon as you know your final course choice. The new/revised OLA must then again be signed by you, DTU and your host university. The signed document should then be uploaded to your Erasmus+ grant application under the action ”Confirmed Online Learning Agreement”.

Within five weeks after the start of the semester changes can be made to the existing OLA. All changes should be indicated in Tables A2, B2 and when applicable C2, while Tables A, B and C should not be modified. Please remember that all courses must be pre-approved by DTU merit before your OLA can be signed.

In case of later changes/additions to the OLA, it will be necessary to start a new OLA containing all courses taken during the semester abroad.


 
ESI - European Student Identifier

ESI is a digital identifier enabling students to uniquely identify themselves when they access student mobility services online. If your host university asks for your ESI, you can find it here:

- Login to your Online Learning Agreement
- Go to “My Account”
- Choose “My Personal Information”
Here you can see your European Student Identifier (6 digits).
